Find and organize files in the Library

Use Library in the sidebar when you need to find a schedule across projects or workspaces. Use a project’s Files page when you want the complete file history of one known project.

Find the right schedule

  1. Open Library.
  2. Search for the schedule or narrow the results with workspace, project, tag, status, or access filters.
  3. Browse the workspace → project → folder tree. Expand parent schedules to find their versions.
  4. Check the schedule’s name, ID, project, and reporting information before opening it.

The breadcrumbs help you keep track of the selected location. The Library contains the work you can access; it is not a list of every file in your organization.

Use filters deliberately

Filters can distinguish Current files, Baselines, and work in progress. Combine them with a workspace or project filter to avoid similarly named schedules from different jobs.

If a file seems missing, clear the search and filters, expand its parent, and check whether archived files or empty locations are hidden. A file shared directly with you may be available even when you cannot browse the rest of its project.

Act on one or more files

Select the intended files and use the available actions, such as Open, Move, Copy, Rename, or Delete. The available actions depend on both your permissions and the kind of file selected. A version and a normal working schedule do not necessarily support the same actions.

Before a bulk operation, check the full selection and destination. A copy is a separate file; a move changes where the existing file is organized. If you are preparing an alternative plan, copy the schedule and give it a descriptive name.

Project Files is the clearest place to review and change the Current, Baseline, and Update designations after organizing the files.

Remove a shared file from your Library

For a schedule shared with you, Remove from library is different from deleting the owner’s schedule. Read the action and confirmation carefully. Use the sharing controls to manage access; do not assume a library organization action changes everyone else’s access.

When access changes

If a previously accessible schedule no longer opens, ask its owner or a project administrator to confirm your membership or direct share. Signing in with another account can also produce an apparently empty Library.
