Share schedules and projects

Use Share in the top bar to choose what the recipient should be able to access. Select the scope before entering recipients or creating a link.

For a client reviewing one issue, schedule sharing may be sufficient. For a planner who will edit and compare several schedules, project membership is more appropriate. For a contributor reporting progress, use the required Editor role on a Premium team project.

Sharing an editable working schedule lets the recipient view that file’s later state as it changes. Share a preserved version when the intent is a fixed issue or submission.

Share a schedule with named people

  1. Open the intended schedule and check its name and ID.
  2. Choose Share → This schedule.
  3. Enter or select the intended recipients in the sharing dialog.
  4. Review the list and choose Share.
  5. Use Manage schedule access to inspect the direct access afterward.

The dialog distinguishes people who have access through the project from people with a direct share. Removing a direct share does not cancel a separate project membership.

Recipients need to sign in with the account receiving access. A schedule share does not grant editing or let them browse every file in the project.

Invite someone to the project

Open Share → This project or the project’s Team page. Choose the person and appropriate Viewer, Editor, or Admin role, then review the invitation before sending it.

Editors can invite up to their own project role. Admin access and license requirements still apply. Check Roles and access when an intended role is unavailable.

Create a share link

Use the link controls for the selected schedule or project. Review the offered settings, including expiration and an optional email-domain restriction. The link flow offers expiry choices such as 7, 30, or 90 days; check the selected value before creating the link.

Share links require sign-in. They are not anonymous public pages. A project link also carries the role selected when creating it, subject to your permissions and the workspace’s licensing rules.

Copy the generated link and send it through your chosen communication channel. Avoid distributing an editing invitation when recipients only need to read the file.

Change or revoke a link

Review the existing links in the sharing controls. A link’s access settings are fixed when it is created; revoke it and create a new one when the role, expiration, or domain requirement should change.

Revoking a link prevents its further use. Also review Manage schedule access or project Team when someone who already joined should lose existing access. Do not assume revoking an invitation link removes every membership it previously enabled.

Help a recipient who cannot open the work

Ask them to confirm the signed-in email address, whether the invitation has been accepted, and whether the link is still valid. Check domain restrictions and the intended schedule/project. If they can read but cannot edit, confirm whether they received only a schedule share or a Viewer role.

A forwarded ordinary page URL does not replace an invitation. An expired link needs a fresh permitted link or a direct invitation from someone who can share the work.

Access versus exported files

Revoking app access controls future use of Syncify. It cannot retrieve a PDF, spreadsheet, or XER someone already downloaded. Choose between exports and app sharing based on whether the recipient needs a fixed deliverable or ongoing access to the plan.
